Destination Experience Coordinator
This incumbent will be responsible for providing comprehensive support to the sales and destination experience team by coordinating group service requests and ensuring seamless service delivery for incoming groups and clients. The incumbent will also lead the coordination, planning, and development of site inspection agendas in collaboration with Destination Experience Managers. The primary goal is to attract group and convention business to Puerto Rico, thereby increasing business opportunities for Discover Puerto Rico partners.
Core Responsibilities:
- Lead the logistical coordination of site inspections and familiarization trips (FAMs): purchasing airlift, confirming client appointments with industry partners, creating events in SimpleView, organizing all related documents, managing amenities, and providing on-site support as needed.
- Develop and maintain positive working relationships with clients and meeting planners through effective written and verbal communication to ensure satisfaction and seamless service delivery.
- Maintain clear and continuous communication with the National Sales Directors (NSDs) regarding services provided and client satisfaction.
- Assist with incoming service and information requests for all client-facing programs, including site inspections, FAMs, and group servicing.
- Attend local industry events, pre-planning sessions, and client meetings as approved by management to support business development and relationship-building.
- Maintain a high-level understanding of Puerto Rico’s history, culture, attractions, and geography to provide context and elevate the client experience during interactions.
- Familiarize yourself with Discover Puerto Rico’s promotional materials, special amenities, and industry offerings to support attendance-building and tailor client recommendations.
- Develop and maintain strong relationships with hotel and industry partners, and participate in programs or events to strengthen these partnerships.
- Manage administrative and financial tracking related to site inspections and FAMs, including: inputting in-kind/expenses reports in SimpleView, submitting RFPs to accounting, and supporting expense reporting in Nexonia.
- Add all definite group bookings to the department grid and track group servicing accurately.
- Maintain accurate and up-to-date group files and an organized department filing system.
- Stay updated on Discover Puerto Rico’s website, social media platforms, and other destination-related websites to provide clients with current information
- Must be available to occasionally support events on weekends or outside regular business hours, as required.
Key Credentials
- This position requires a bachelor's degree (B.A.) in Business Administration from a four-year college or university.
- Minimum of two (2) years of experience in convention services, sales, services experience or equivalent combination of education and experience.
- Fully Bilingual with strong oral and written communication and presentation skills (English/Spanish);
- Strong communication, interpersonal, and organizational skills. Especially the ability to work across departments to achieve results.
- Ability to work independently
- Technologically Efficient, MS Office Proficient
- Knowledge of the Puerto Rico market, cultural and political nuances.
- Flexibility and adaptability to juggle a range of different tasks.
