We are seeking a Marketing Materials Manager that wants to take their knowledge and help grow our venture capital-backed business. This is the perfect role for someone who is organized and enjoys coordinating behind-the-scenes details to ensure every trade show, training event, and lab setup runs smoothly. As a Marketing Materials Manager, you will be responsible for:
- Inventory Management:
- Maintain accurate inventory of all marketing materials, including brochures, banners, acrylic models, and branded merchandise. This includes material request forms and bill of materials
- Implement and manage an inventory tracking system.
- Coordinate allocation and issue of shared materials across all event types
- Inspection & Maintenance:
- Conduct regular inspections of anatomical models, booth components, and demo materials to ensure they are clean, functional, and presentation-ready.
- Perform basic maintenance or coordinate repairs/replacements as needed.
- Arrange for cleaning services, such as dry cleaning for booth and branded materials as needed.
- Document condition and usage history of high-value items like acrylic models and demo kits.
- Logistics & Fulfillment:
- Manage all inbound and outbound shipments for labs, events, trainings.
- Coordinate shipping and receiving of materials for trade shows, labs (cadavers, sawbones, etc), and field sales teams. This includes direct shipments from lab to lab when possible to optimize cost and efficiency.
- Ensure timely delivery and return of booth components and demo materials including restocking one-time use items.
- Coordinate freight for advanced warehouses when appropriate.
- Track all shipments, investigate and resolve any lost, missing or delayed deliveries.
- Trade Show & Event Support:
- Oversee the preparation, packing, and shipment of trade show booths and displays.
- Maintain booth components and ensure they are clean, functional, and up to date.
- Collaborate with the events team to ensure all materials are aligned with event requirements.
- Lab Support:
- Receive and manage material request for Labs (Cadaver, SurgiStud, and Sawbones)
- Manage the inventory and shipment of lab-specific supplies and anatomical models.
- Ensure compliance with safety and regulatory standards for lab materials.
- Calendar and SharePoint Maintenance
- Maintain calendar availability for all events and labs
- Create and update forms and resource folders in the SI SharePoint site
- Add and manager SI employee access to SharePoint for proper visibility and collaboration
- Shoulder Innovations Swag Management
- Order, Maintain, and ship swag inventory for all organizational usage: Events, Trainings, Gifting, Employees
- Coordinate with the MedEd Team to receive in swag for their events/purposes. Maintain inventory of these items and ship as requested.
- Data, Systems, Process Improvement
- Maintain records of material requests, usage and surgeon training data
- Create and iterate request processes, forms and digital solutions
- Develop shared calendars, filing systems and communication workflows
- Support ongoing evaluation and refinement of processes to scale with company growth
- Procurement & Vendor Management:
- Source and order marketing materials and supplies.
- Work with vendors to ensure quality, cost-effectiveness, and timely delivery.
- Cross-Functional Collaboration:
- Partner with marketing, sales, and clinical teams to understand material needs.
- Provide support for new product launches and training events.
Requirements:
- Bachelor’s degree in marketing, Business, Logistics, or related field.
- 3+ years of experience in marketing operations, logistics, or materials management.
- Experience in the medical device or healthcare industry preferred.
- Strong organizational and project management skills.
- Self-motivated with a results-driven mindset and a commitment to meeting deadlines both independently and working on a team
- Builds strong working relationships with peers across departments
- Proficiency in inventory management software and Microsoft Office Suite.
- Excellent communication and vendor negotiation skills.
- Ability to travel up to 25%
