Duties and Responsibilities:
• Support Citywide bookings over 400 guest rooms on peak
• Facilitate service requests for Citywide groups
• Consult and collaborate with meeting planners on an event planning timeline starting 18 months prior and leading up to event date
• Develop and coordinate pre planning site visits to the destination
• Work closely with Hotel and Phoenix Convention Center counterparts throughout the lifecycle of the event planning process to ensure optimal service delivery and experience at all attendee touch points
• Attend pre-convention meetings for incoming groups
• Assist groups with destination experience information to build attendance
• Collaborate with Visit Phoenix Marketing & Media teams to tailor and deliver impactful destination marketing and promotional materials and media
• Participate in sales site visits to introduce the destination experience process
• Obtain overflow housing blocks for citywide groups and update database when appropriate
• Understand and communicate on convention housing pick up and block management and closely monitor registration and attendance pace levels up to event date
• Attend industry conventions for continuing education
• Carryout administrative file and CRM data management tasks including post event reconciliation
• Support Senior Director of Destination Experience with special projects as assigned
Qualifications and Education Requirements
• Minimum 5 years customer-facing in hospitality, travel, meetings, event services; with a Bachelor’s Degree or equivalent years of experience.
• Ability to effectively communicate internally and externally, with strong interpersonal skills; proven ability to collaborate and build strong relationships with clients and partners to ensure satisfaction.
• Positive attitude with the ability to flex and be adaptable as part of a team.
• Strong ability to see projects through from beginning to end; prioritize projects, organized multi-tasker who thrives on managing multiple projects at the same time.
• Ability to manage conflict with a solution mindset that ensures client and partners' expectations are met.
• Ability to maintain positive and poised composition as a Visit Phoenix brand ambassador.
• Proficiency with full Microsoft Office suite applications (Excel, PowerPoint & Word).
• Knowledge of CRM systems; experience with SimpleView is a plus.
• Availability to work Monday – Friday, with occasional evenings or weekends as needed
• This position requires sitting/walking/standing for extended periods of time.
• This position may require lifting up to 25 lbs. (supplies, brochures, etc.).
• This role requires a reliable vehicle, a valid driver's license, and a clean driving record with proof of insurance.
