Job Summary:

The Destination Services Coordinator reports to the Associate Director of Convention Services. The Destination Services Coordinator’s primary responsibility is providing administrative support to the department staff and services to single, hotel meeting groups/inquiries. The support/services include, but are not limited to, preparing various written communications, reporting, researching, managing databases and completing specifically assigned projects.   

 

Supervisory Responsibilities:

  • This position has no supervisory responsibilities. 

 

Duties/Responsibilities:

  • Support Visit Denver’s vision, mission, and values by exhibiting the following behaviors: excellence and competence, collaboration, innovation, respect, personalization, commitment to community, accountability, and ownership.
  • Support Visit Denver’s efforts related to Diversity, Equity, and Inclusion (DEI).
  • Service definite single hotel and convention center groups. Groups are serviced on demand.
  • Serve as back up to the Destination Services Assistant to answer, respond and track inquiry calls from meetings not booked by Visit Denver.   
  • Coordinate all group fulfillment for assigned groups as well as manager group fulfillment which includes processing of promotional material and visitor guide orders for pick‑up & delivery. 
  • Administer and maintain department related databases, project plans and spreadsheets to track information and handle projects.
  • Assist with coordination of client site tours and itineraries. Duties include but are not limited to  arranging transportation to/from DEN, securing hotel rooms, communicating the schedule with partners, entering information into the database for tracking and managing changes as they arise. Occasionally, this position will conduct site tours. 
  • Manage department specific programs as directed. 
  • Coordinate all pre-trip aspects associated with pre-promotion trips to include but not limited to ordering promotional material, securing hotel rooms, managing shipments, etc.  Occasionally this position will travel for pre-promotion trips.    
  • Consistent communication between director, associate director, the Director of Denver Sports, and sales managers as to the status of each account.
  • Accurately and efficiently prepare general correspondences, charts, tables, graphs, PowerPoint presentations, Adobe Illustrator Maps, etc. Proofreads copy for spelling, grammar, layout and making appropriate changes. 
  • Excellent and consistent communication with Visit Denver departments, hospitality community and Convention Center staff. 
  • Maintain knowledge of present and future event facilities, hotels and the Colorado Convention Center. 
  • Attend partnership networking events and Visit Denver annual events.
  • Maintain knowledge of all marketing/promotional tools, resources and materials available to groups. 
  • Maintain good relationships with partner companies and familiarize him/herself with services available and send leads and referrals to partners/clients.   
  • Perform all basic clerical tasks as needed.

  • Proficient computer skills and advanced knowledge of MS Office (Word, Excel, PowerPoint), MS Outlook, MS 365, & CRM software.  Experience with Adobe creative suite and Illustrator a plus. 
  • Reliable, dependable, flexible and responsive.
  • Proofreading and grammar skills.
  • Ability to travel locally and domestically: minimal travel required. 
  • Must be available to work overtime or outside normal business hours as required.

 

Education and Experience:

  • A (four-year or two-year) degree in hospitality, administration, public relations, or other relevant fields of study is preferred. 
  • Minimum two (2) years of experience in an administrative support role; hospitality experience is a plus.

 

Physical Requirements: 

  • Must be able to remain in a stationary position, such as sitting or standing, for an extended period. 
  • Must be able to bend, stoop, and reach.
  • Must be able to lift a minimum of 40 pounds on an occasional basis.
